We are hiring a highly motivated, detailed-oriented, team player to join our team as an EXECUTIVE ASSISTANT to support the Owner and senior management. As the Executive Assistant, you will work as a liaison between vendors and management. You will also assist the owner and management in a wide variety of matters. Strong organizational skills and writing skills are essential for success in this position. This is a salaried position and you may be required to attend occasional weekend and evening events.
RESPONSIBILITIES:
- Act as liaison between vendors and management
- Assist in Human Resource duties – In particular, RECRUITMENT
- Investigate vendor billing discrepancies
- Track and negotiate office equipment and supplies
- Provide personal assistance to owner/senior management
- Research online, make calls, and/or visits to find solutions related to various topics
- Coordinate and review various contract terms and renewals including: advertising, office equipment, insurances, and others
- Pay vendors
- Create Excel spreadsheets to track various data
- Compose letters
- Scan and store confidential information
- Design PowerPoint presentations
- Edit written materials
- Coordinate travel plans and meetings for management
- Organize employee benefits such as health insurance
- Research and plan team-building events
- Answer and manage incoming calls, receive and interact with incoming visitors
- Additional tasks and responsibilities may arise
REQUIREMENTS:
- Native Level English (Speaking and Writing)
- 4-year college degree in Advertising, Marketing, Public Relations, Business Administration, Journalism, Hospitality and Management, English or related area.
- Minimum 3 years of experience in a similar position
- Superior written and verbal communication skills
- Strong computer expertise includes: Word, Outlook, PowerPoint, and Excel (must be able to create and update Excel spreadsheets)
- Basic accounting knowledge
- Exceptional organizational skills and attention to detail
- Ability to demonstrate creativity, initiative, and problem-solving skills
